Facilities Coordinator

Position Overview
Aecon is well-positioned in the Canadian marketplace as an industry leader in the development and construction of infrastructure. We have a roster of ongoing major projects here and abroad, record backlog diversified across multiple sectors and duration, and a robust pipeline of future project pursuits. The Facilities Coordinator is responsible for performing a variety of administrative tasks in support of Aecon’s Head Office facility and mailroom, requiring a thorough knowledge of policies and procedures. This position requires the ability to work independently and as part of a team exercising judgment and initiative.

Key Responsibilities

  • Coordinating Aecon’s Toronto Head Office facility and establishing and maintaining relationship with key vendors (cleaning, maintenance, supplies, couriers, security staff) to ensure high quality services.
  • Administration of employee security and parking passes for Head Office staff.
  • Responsible for administering all mail room duties.
  • Processes and maintains records of all incoming and outgoing mail and courier.
  • Prepares mailroom and facility related invoices for processing by accounts payables.
  • Maintains the Mail Room and Head Office copy rooms, ensuring they are fully stocked with required materials.
  • Meets and greets all visitors in a positive friendly manner.
  • Relief and back-up for reception desk on an as needed.
  • Performs such other duties and responsibilities as assigned by his/her supervisor.

Required Knowledge and Experience

  • Good computer skills, using Microsoft Office suite.
  • Strong communication skills, dealing tactfully with employees, visitors and customers.
  • Possess several years office related experience.
  • Knowledgeable on modern office methods and procedures, equipment and filing systems.
  • High school and minimum one year of post-secondary education.
