Personal Assistant

This is a Full-time position in Toronto, ON posted May 9, 2018.

Seeking an intelligent, dynamic, goal oriented and results driven Personal Assistant to support a busy successful business woman and arts patron.

This is a unique position encompassing all facets of the principal’s busy life on an executive, personal, cultural and social level.

The ideal candidate must have excellent time management and interpersonal skills, have an intuitive business sense, a passion for all forms of the arts, and a strong work ethic. Attention to detail and administrative organization is critical in this role. Must be adaptable and creative in response to a continually changing, fast-paced sophisticated environment. The ideal candidate is also a team player, able to work cooperatively with other staff within the home and office.

Some travel is required to New York and France. As such, the schedule is flexible to offset these occasional overtime hours.

​Applicant Requirements:

  • 5-10 years relevant professional experience
  • A minimum of a Bachelor’s degree in the arts
  • Advanced knowledge of MS Office, including Microsoft Word, PowerPoint, Excel, and Outlook
  • Self-motivated, able to work independently or as a team
  • Possess excellent research skills
  • Polished, professional presentation, personal credibility, integrity, and loyalty
  • Hospitality skills an asset
  • Respectful of confidentiality and privacy; exercise diplomacy and discretion
  • Valid full Ontario driver’s license and current passport
  • Working knowledge of French

​Primary Responsibilities:

  • Agenda and meeting co-ordination, and ensure that all required documents are ready in ample time
  • Management of a busy calendar, coordinating appointments and transportation
  • Maintain and update contact database and hard copy rolodexes
  • Manage a comprehensive administrative and project-related filing system, digital and hard-copy
  • Maintain and update system of manuals for the organization of a household, all mechanical systems, travel protocols, and technology
  • Basic household and personal bookkeeping; communication with accountants as required
  • Written and oral communication on behalf of the principal
  • Run select personal errands on an as-needed basis
  • Troubleshoot office computer technology with the IT team
  • Book and maintain travel itineraries at a VIP level
  • Oversee an extensive contemporary art collection
  • Oversee both an on

    – and off-site wine collection

  • Work closely with the principal on her cultural and fundraising activities, including entertaining
  • Work on select special projects as required
  • Handle discreet situations with confidentiality and sensitivity
