Company Administrator / Marketing Coordinator

Axon VCT

This is a Full-time position in Toronto, ON posted June 11, 2019.

Axon VCT is a startup with a global footprint that is providing care collaboration and medical imaging tools to the veterinary market.

We are looking for a dynamic Company Administrator/Marketing Coordinator with exceptional interpersonal skills.

This role will support the executive team with comprehensive administrative and logistical support and will also serve as a liaison with other departments in the resolution of day-to-day administrative tasks.

The position requires an individual that is resourceful, can work autonomously, take initiative and demonstrate excellent follow through.

The individual must be a team player and exhibit strong organizational skills along with the ability to manage complex assignments.

The incumbent must also be comfortable with multi-tasking and prioritization in a fast-paced constantly changing start-up environment with close attention to detail, accuracy and timeliness.

Responsibilities Review and prepare all documents, reports and other correspondence materials for the CEO and management team.

Assist the CEO and management team in responding to inbound inquiries and needed approvals in a timely fashion.

Manage the CEO’s calendar, including coordinating meetings, rescheduling, cancellations, and securing required logistics such as addresses, meeting rooms, catering, etc.

Assist in securing office space and moving logistics.

Coordinate office activities.

Act as the point of contact between the executives and internal/external clients.

Maintain a professional image and demeanor with all employees, management, executives, visitors and clients at all times.

Maintain and monitor office supply inventory levels and place orders.

Handle all aspects of the team’s travel portfolio, including scheduling and managing flights and accommodations.

Planning meetings and coordinating schedules.

Perform some Human Resource activities as required, including, but not limited to orientation, recruitment/onboarding administration, background checks, maintenance of personnel files, receiving and noting absences on an attendance spreadsheet or HRIS.

Marketing/Sales Support Responsibilities: Assist in the creation of and optimize digital ad/marketing campaigns.

Create, maintain and update a database of digital marketing content including advertisements, brochures, posters, company photos and other promotional materials.

Develop social media presence including the management and maintenance of all company social media platforms.

Improve search engine optimization (site pages keywords and description management).

Assist in writing and editing digital content for internal and external communications, including press releases, articles, web copy, and more ensuring consistency with other branding tools.

Measure and report on web analytics, ROI, and KPIs.

Assist in the monitoring and documentation of marketing budgets and expenses.

Assist in the coordination of trade shows.

Assist in the development of digital marketing communications.

Assist in the preparation of customer proposals and customer solutions.

Track sales orders and proposals.

Assist in the data entry and maintenance of CRM.

Track sales reports and document metrics.

Assist in setting key appointments.

Assist in processing sales expenses and monitor overall expenditures.

Other duties, relevant to the position, shall be assigned as required.

Skills/Experience Post-secondary education is required, a university degree is preferred.

Administrative experience in a professional work environment.

Must be proficient with the use of technology, including G-Suite and MS Office packages.

Excellent interpersonal and communication skills, both verbal and written in English.

Able to deal with people sensitively, tactfully, diplomatically and professionally at all times.

Ability to work independently and as part of a team.

Exceptional organizational and multi-tasking capabilities.

Excellent accuracy and attention to detail.

Must be able to meet deadlines in a fast-paced environment.

Knowledge of internet principles, best practices, digital marketing, and web technologies Knowledge of human resource procedures and practices is an asset.

Experience working in a start-up is an asset.

Additional Information This position works with resources throughout North America and Asia; therefore, flexibility in the average workday is required to coordinate meetings with resources and clients in other time zones.
