Operations Administrative Coordinator

(Program/Clients Services)

Employment Type: Full-Time, Permanent
Hours of Work: 35 hours per week (with the flexibility to work some evenings & weekends)
Salary: $54,206 per year (based on skills and experience)

The mission of the Red Door Shelter is to end homelessness for each family that comes through our doors by providing a safe, temporary refuge and critical services to support them in healing, rebuilding their lives and integrating back into a community. Overall Responsibility: The Operations Administrative Coordinator is responsible to ensure that all administrative functions related to Red Door Family Shelter’s client services/shelter operations are carried out and maintained effectively and efficiently.

Key Accountabilities:

  • Provide direct administrative support to the Director of Client Services.
  • Manage the schedule of the Director of Client Services.
  • Coordinate meetings, seminars, workshops, special projects, and events as directed.
  • Schedule and attend Managers’ meetings; take, distribute, and archive meeting minutes.
  • Manage and maintain all reports submitted to the Director of Client Services such as; Incident Reports, Client Complaints, Accident/Injury reports, etc. according to standards
  • Conduct Research and compose reports as directed by the Director of Client Services.
  • Analyze and report the daily, monthly and annual shelter occupancy levels to the Director of Client Services. Prepare consolidated reports of same as directed.
  • Under the direction of the Director of Client Services, coordinate and distribute in-kind items, information or opportunities for clients(such as tickets for events, concerts etc.) to the shelter management teams.
  • Manage the vacation and sick data for employees reporting to the Director of Client Services.
  • Prepare reports and presentations as directed.
  • Liaise with business coordinators, property representatives or repair personnel as required.
  • Assist with managing in-kind donations/distributions as required.
  • Other Administrative functions include organizing files, policy binders, managing correspondence etc.
  • Perform other duties as assigned.

Qualifications:

  • Post-secondary education in office management/administrative processes.
  • Minimum of 2 – 3 years of experience preferably in non-profit organizations.
  • High level of proficiency in the use of Microsoft Office applications (WORD, Excel, Powerpoint, Outlook, etc.)
  • Good experience and knowledge of working on databases
  • Excellent interpersonal skills and demonstrated successful experience working effectively on a team.
  • Sound judgment with the ability to maintain a high degree of confidentiality.
  • Excellent oral and written communication skills with a level of attention to detail.
  • Superior coordination and organizational skills.
  • Ability to work well independently.
  • Excellent problem-solving skills.
  • Ability to lift and move items up to 35 lbs as required.
