LINC Admin Assistant
Part-Time Contract
9 hours per week (Ending March 31, 2019) with a possibility of extension

TNO – THE NEIGHBOURHOOD ORGANIZATION (TNO, formerly Thorncliffe Neighbourhood Office) is a community based multicultural, multi-service agency which offers a broad range of programs to serve Thorncliffe Park, Flemingdon and the surrounding communities through strengthening the quality of individual and community life.

TNO provides programs and services which include settlement and language classes for newcomers, employment services, child, youth and family support services that are offered in more than 20 languages. Over the last 30 years TNO has served thousands of individuals and families.

Program/Project Description:

The Language and Labour Market program stream provides services that facilitate social, economic and civic integrations of newcomers into the community and the society at large. Services provided include needs assessment, language training, service planning, information and referrals, reception and orientation, interpretation and introduction to community resources.

Position Summary:

The LINC Admin Support will provide LINC administrative support for LINC program. They will maintain and update database for LINC enrollments, LINC certificate and letters, attendance tracking, and other reporting duties. As first contact with clients, they is expected to provide excellent customer service support in answering general enquires relating to LINC issues phone and in-person. This position will support and actively engage in TNO’s community development principles and initiatives.

Main Tasks & Responsibilities:

  • Provide administrative support
  • Data input in CLARS, ICare and TNO database on weekly basis for both Learners and CNC clients;
  • Prepare letters and citizenship certificates for LLMA clients on an ongoing basis;
  • Enroll new Learners and CNC clients in LINC Program;
  • Maintain and update LLMA clients waitlist on weekly basis;
  • Call clients from the LINC and CNC waitlist;
  • TTC Token distribution to and maintaining the balance sheet for the Finance Department;
  • Order supplies for LLMA;
  • Prepare the monthly petty cash balance sheet for LLMA;
  • Occasionally make flyers and prepare TNO folders;
  • Prepare and update LINC Learners registration files on an ongoing basis;
  • Answer phone calls, make photocopies, send faxes, technical support for staff on an as needed basis;
  • Performs reception duties when required.



The minimum level of education preferred is Community College diploma or Bachelor’s degree in Business

Administration or related. Successful and valid police reference check required


One to three years of experience preferred in the administration with non-profit organization and with multicultural background

Language Proficiency

Excellent oral and written English communication skill, proficiency in a second language (Arabic) is an asset.
