Bilingual Service Coordinator/Administrator

Position Summary

Direct Construction is a respected Construction and Maintenance company in Canada, and has an opening for an experienced Bilingual (French & English) Service Coordinator in our Retail Construction and Maintenance Division. This opportunity requires a results oriented professional, who thrives on accepting new challenges within a fast paced environment.

The Bilingual Service Coordinator will report to and work closely with the Service Manager to support the Retail Construction and Maintenance division. The Bilingual Service Coordinator is responsible for processing work orders/service calls, working closely with clients and trades, and supporting the Retail Construction and Maintenance team.

Key Duties, Responsibilities, Skills & Attributes

The Bilingual Service Coordinator provides customer service and front line support to clients with respect to maintenance and operations. Responsibilities include, but are not limited to, handling inbound service requests received via email, web interface, and telephone and initiating work orders to support timely fulfillment and resolution of client requests. The Bilingual Service Coordinator is required to provide service in French and English.

  • Accept incoming service requests
  • Contact clients to confirm acceptance of service requests and provide a schedule date
  • Create work orders and purchase orders
  • Obtain quotations from appropriate sub-contractors/trades
  • Prepare and send quotations to clients
  • Liaise and dispatch subcontractors and/or own workforce
  • Order materials as required
  • Follow up with subcontractors and/or workforce and clients regarding progress/status of jobs
  • Review and approve invoices from subcontractors
  • Prepare all service documents to invoice customer
  • Photocopying and filing
  • Accept and respond to after-hours emergency calls within a rotation system
  • High energy, high capacity for work, with good attention to detail
  • Strong organizational and planning skills and the ability to manage multiple priorities
  • Ability to work independently, self-starter, energetic
  • Ability to maintain a high level of accuracy
  • Exceptional interpersonal skills, both oral and written
  • Effective verbal and listening communications skills
  • Conduct quality control activities in accordance with instructions
  • Strong customer focus and ability to communicate with customers and employees
  • Excellent written and verbal communication skills. Must have the ability to communicate (verbal and written) in French
  • Able to handle large volume of tasks in a fast paced environment and capable of working under pressure with tight deadlines, multi-task, prioritize work efficiently and act with a sense of urgency
  • Strong ability to build and maintain working relationships with employees and vendors
  • Team player that effectively collaborates with others while supporting the goals of the business
  • Strong ability to plan, organize and complete work as assigned including additional assignments per supervisor’s direction
  • Maintains confidentiality of client account information and other confidential information. Conducts work in a professional manner

Required Skills, Knowledge, Qualifications and Experience

  • Fluent French and English (verbal and written)
  • Strong customer-service orientation and demonstrated customer service skills.
  • Ability to assume responsibility and to interface and communicate effectively with others, having strong interpersonal skills and be self-motivated
  • Ability to work in a fast paced, multi-client environment with ability to apply various client specific business processes to individual service request situations.
  • Demonstrated ability to gather information, accurately assess issues and assign level of priority, and effective probing and problem solving skills.
  • Working knowledge of Microsoft Office and accurate data entry, Sage 300/Timberline an asset
  • Strong time management skills being extremely detailed oriented and a team player
  • Knowledge of construction industry is an asset
