Administrative Support IV

Your Opportunity: The Data & Analytics portfolio requires an Administrative Assistant to fill our Administrative Support IV position.

This position is a key resource for 5 Directors within our team and is integral to the functioning these offices within the Data & Analytics portfolio.

The Administrative Assistant is responsible for responding to general inquiries, drafting and processing correspondence, managing schedules, arranging meetings, creation and maintenance of tracking databases (including the Data & Analytics Request Management Tool/Database), creation and editing of PowerPoint presentations, AHS Payroll, provincial invoicing, processing of research inquiries, documentation and tracking of team meeting minutes and some project management.

The incumbent will also be responsible for the ongoing development and maintenance of processes required for various activities within the office and across the team provincially.

Excellent communication, organizational and interpersonal skills are required with the ability to prioritize assigned tasks and manage competing priorities within defined and often tight timelines in a busy office environment.

The incumbent will also be required to interact with individuals at all levels of the organization as well as external stakeholders; as such, there is an expectation for a high level of interpersonal and communication skills and independent judgment while maintaining the highest standards of confidentiality and discretion.

Description: As an Administrative Support IV, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.

course(s) in business administration, medical office assistant), or other related fields.

Additional Required Qualifications: 5-7 years of administrative experience required, preferably at the Executive support level in a complex office environment.

Preference will be given to candidates with knowledge of Alberta Health Services systems and processes, including familiarity with policies and procedures in the areas of Finance, Human Resources, Capital Management, as well as Contracting, Procurement and Supply Management.

Proficiency with Microsoft Office applications is essential, including PowerPoint and Excel, as well as other AHS software programs related to human resource management (e-People), procurement, and financial reporting (MR).

Incumbent must possess a minimum Grade twelve education, along with completion of a recognized Administrative Assistant certificate program or Business Administration diploma and possess a mastery of the English language, both spoken and written.
