Office Manager/Bookkeeper

Targeted Accounting

This is a Part-time position in Toronto, ON posted February 28, 2019.

Our client who builds and manages high quality, full service retirement residences for independent and active seniors is looking for an Office Manager/Bookkeeper in the Cobourg area.

This position will be aiding in the day to day business of a retirement residence.


Previous employment in a health care residence an asset but not mandatory.Must have a total understanding of bookkeeping practices and sufficient accounting knowledge to determine proper entries, prepare financial reports and statements, and conduct reviews as required.Knowledge of Yardi accounting software an asset but not mandatory.Must provide a medical certificate from a physician annually, stating physical and mental capability for this position. Must be free of communicable diseases.

Physical Demands:

Sitting for long periods at a desk for computer/typing work.Standing for long periods of time.Walking short distances and up/down staircases.Typing and/or use of a computer keyboard proficiently.Pulling/pushing/lifting to open and/or relocate binders, carts, etc. up to 10lbs.Reading/seeing documentation both in paper format and on a computer screen for long periods of time.Hearing differences in phone ring tones and/or in fire system horns or alerts for emergency response purposes.Speaking/communicating in front of audiences and with individuals who may have impairments and disabilities.


Maintain a complete set of accounting records in the residence, or, where part of a chain, keep one or more sections of a complete set of books or records relating to certain phases of the business transactions.Perform payroll duties necessary for the calculation of accurate wages and salaries of all staff.Maintain confidentiality of all financial, personnel and resident data.Be knowledgeable of and practice residence’s fire and safety programs.

Job Description – Accounting:

Post and balance subsidiary ledger(s) such as accounts payable or receivable.Examine and code invoices or vouchers for proper accounting distribution.Assist in preparing budget, income and expenditure reports.Prepare all resident billings. Handle payments and all queries concerning billings from residents and/or their families.Maintain resident trust accounts in accordance with legislative requirements, if applicable.Prepare bank deposits. Handle and balance petty cash for the residence.

Job Description – Payroll:

Calculate and prepare payroll (and/or prepare payroll data for machine processing) including deductions and taxes, against tight deadlines. Identify pay anomalies from familiarity with residence’s practice and obtain resolution from appropriate authorities.Maintain knowledge of various pay rates, conditions of collective agreement(s), overtime and sick pay arrangements, holiday pay, etc.Process and forward payments withheld for taxes, union dues, employee benefits, etc.Administer group benefits.Answer routine questions and explain deductions or provide other information to employees or employees’ supervisors.Note the wage is a prorated wage so equates to a $50,000 full time wage.3 days of work can be done in 3 days or spread over more to meet applicant’s needs.An online test will be administered to applicants that meet the qualifications. Time allowed for the test is 3 hours.
