– Richmond Hill, ONSales AdministratorRichmond Hill Toyota is actively searching for a Full Time Sales Administrator support the Pre-Owned Car Department .This position will be responsible for providing exceptional customer service and administrative support to a team of 5 Sales Consultants and 2 managers.ResponsibilitiesResponsible for licensing used retail deliveries, wholesale vehicles and all trades and transfersReconciles accounts as directed by the Controller (vehicle receivables, customer deposits, license clearing, used vehicle inventories, and the vehicle floor-plan)Reconciles the monthly statements of third party warranty providers and prepares cheques accordingly and prepare cheque requests for Purchase units.Apply for lien searches for any incoming vehicles into our inventory.Apply for “CBB” used vehicle packages for all retail used vehicles as requested by the Used Vehicle Sales Manager.Apply for an owner history of all used vehicles incoming into inventory and update used garage registers.Provide administrative support.

Including assignment of stock numbers, maintenance of inventory, maintenance of accurate dealer defaults and group dealer options in Docket Files. Also responsible for recording delivered vehicles, accurate lot status of all vehicles, mileage of demo vehicles and updating vehicle pricing.Reception duties; Greeting visitors, follow-up on unanswered phone calls and record messages accurately, maintain Sales Call log and provide New Sales reception relief when neededProvide word processing, filing, faxing and other clerical support to department managers as coordinated and directed by the Sales Manager, General Sales Manager or General Manager. Work cooperatively with all department managers. Collect mail as delivered to the dealership and route to the Controller and accounting department.Performs other duties as assigned by Used Car ManagerExperienceExcellent customer service skills and ability to deal with people in a friendly, professional and efficient manner. This includes excellent phone etiquette and ability to handle multiple priorities.Excellent verbal and written communication skills.Must be technology savvy with the ability to use a variety of programs.Attention to detail and an ability to ensure accuracy in all administrative tasks.
